PVO EXPEDITIONS: TERMS AND CONDITIONS

These Terms and Conditions apply to the use of the PVO Expeditions website and to bookings, events, sailing experiences, expeditions and related activities organised by PVO Expeditions.

PVO Expeditions is a Danish non-profit association based in Denmark.

By using this website, signing up for an event, booking a place, or joining an activity organised by PVO Expeditions, you agree to these Terms and Conditions.

  • ABOUT PVO EXPEDITIONS

PVO Expeditions creates sailing-based experiences, expeditions, events, partnerships and communication projects connected to the ocean.

Some activities are open public experiences. Others are curated, partner-based, mission-driven or invitation-based.

Each event or activity may have its own event page, booking information, price, schedule, practical requirements and specific conditions. The event page forms part of these Terms.

  • WEBSITE USE

You may use this website to learn about PVO Expeditions, Sail for Impact, Sail to Explore, events, expeditions, partnerships and related activities.

You may not use the website in a way that damages the website, interferes with other users, copies content without permission, or misrepresents PVO Expeditions.

We may update, remove or change website content at any time.

  • INFORMATION ON THE WEBSITE

We try to keep all information accurate and up to date.

However, sailing and expedition-based activities depend on weather, safety, boat availability, partner logistics, local conditions and operational factors. Information such as routes, boats, schedules, locations, guest capacity and activity details may change.

If there is a difference between general website information and the specific event page, the event page applies.

  • BOOKINGS AND PAYMENTS

Bookings are made through the relevant booking platform or payment method shown on the event page.

A booking is received when payment has been made.

For some events, payment may reserve a place while PVO Expeditions confirms cabin setup, boat details, crew balance, safety suitability or operational feasibility.

A booking is not fully confirmed until PVO Expeditions has confirmed the participant’s place in writing.

Payment amounts, deposits, balance deadlines and refund terms are shown on the relevant event page.

  • CURATED PARTICIPATION AND CONFIRMATION

Some PVO Expeditions activities, including Sail to Explore, are small shared experiences where group dynamic, cabin setup, boat capacity and safety matter.

PVO Expeditions may confirm or decline a booking based on available spots, cabin setup, boat setup, safety considerations and overall crew balance.

If a participant’s place cannot be confirmed, payments made to PVO Expeditions for that place will be refunded in full.

  • PARTICIPANT RESPONSIBILITY

Participants are responsible for reading the event page carefully before booking.

Participants must provide accurate information during booking, including any relevant medical, dietary, safety or access information that could affect participation.

Participants are responsible for arriving on time, bringing suitable clothing, packing appropriately, following instructions, and behaving respectfully toward the skipper, crew, other participants, local communities and the boat.

  • SAFETY AND SKIPPER AUTHORITY

Sailing involves real conditions and changing environments.

The skipper has final authority on safety, navigation, route, sailing conditions, onboard decisions and whether an activity can go ahead.

Participants must follow safety instructions at all times.

PVO Expeditions may remove a participant from an activity if their behaviour creates a safety risk, serious disruption, damage to the boat, harm to others, or serious harm to the group dynamic.

  • WEATHER, ROUTES AND CHANGES

Routes, stops, anchorages, sailing plans and activities may change before or during an event because of weather, safety, local conditions, skipper decision, boat availability or operational needs.

A changed route or adjusted plan does not automatically create a refund.

PVO Expeditions will aim to deliver the spirit and core purpose of the activity, but sailing-based experiences cannot guarantee a fixed route.

  • CANCELLATION BY PVO EXPEDITIONS

PVO Expeditions may cancel an event if the minimum number of participants is not reached, if suitable boat arrangements cannot be secured, or if weather, safety, operational issues, partner issues or other serious conditions make the event impossible or unsuitable to run.

If PVO Expeditions cancels before departure, payments made to PVO Expeditions for that event will be refunded in full.

PVO Expeditions is not responsible for third-party costs such as flights, hotels, transfers, insurance, personal purchases or other external costs, except where responsibility cannot be excluded by law.

  • CANCELLATION BY PARTICIPANT

Participant cancellation terms may vary by event and will be shown on the relevant event page.

If a deposit is stated as non-refundable after confirmation, that deposit will not be refunded once the participant’s place and event setup have been confirmed.

If a participant cancels after confirmation, PVO Expeditions may try to fill the place from a waiting list where possible.

Any refund beyond the deposit depends on whether the place can be filled, the timing of cancellation, and whether costs have already been committed.

No refund is guaranteed for participant cancellation after confirmation, except where required by applicable law.

  • INSURANCE

Travel insurance that covers sailing is strongly recommended.

Participants are responsible for arranging their own insurance and personal cover.

Insurance should, where relevant, cover sailing, travel disruption, medical treatment, evacuation, personal cancellation, lost belongings and personal liability.

PVO Expeditions is not responsible for costs normally covered by personal travel insurance, except where responsibility cannot be excluded by law.

  • SHARED EXPENSES

Some sailing events include shared expenses that are not included in the ticket price.

Shared expenses may include groceries, fuel, marina fees, anchorage fees and other shared boat costs.

The estimated shared expense amount will be shown on the relevant event page.

The final amount may change depending on route, weather, marina choices, boat setup and group decisions.

  • PHOTOS, VIDEO AND MEDIA

Photos and videos may be taken during PVO Expeditions activities and used for communication, storytelling, documentation and promotion by PVO Expeditions, Sail for Impact and Sail to Explore.

If a participant does not want to be clearly featured in photos or video, they should tell PVO Expeditions before departure.

PVO Expeditions will try to respect this where practical, but incidental appearance in group settings, boat scenes or background footage may still occur.

  • PERSONAL DATA

PVO Expeditions may collect personal information needed to manage bookings, safety, communication, payments, crew planning and event operations.

This may include name, email, phone number, booking information, emergency contact, medical or dietary information, and other information provided by the participant.

Personal data will be handled only for relevant operational, safety, communication and legal purposes.

A separate Privacy Policy may provide more detail on how personal data is handled.

  • INTELLECTUAL PROPERTY

All text, images, video, design, brand material, concepts and content on the PVO Expeditions website belong to PVO Expeditions or are used with permission, unless otherwise stated.

You may not copy, reproduce, sell, publish or reuse PVO Expeditions content without written permission.

  • THIRD-PARTY LINKS AND SERVICES

The website or event pages may link to third-party services such as booking platforms, payment providers, transport providers, accommodation providers, partner organisations or social media platforms.

PVO Expeditions is not responsible for third-party websites, services, delays, errors, cancellations or terms.

  • MANDATORY RIGHTS

Nothing in these Terms limits any rights participants may have under applicable consumer, maritime or travel law.

  • LIMITATION OF LIABILITY

PVO Expeditions is not responsible for losses, costs, delays, route changes, missed transport, personal expenses, weather impacts, personal belongings, or third-party failures, except where responsibility cannot be excluded by law.

Nothing in these Terms excludes liability for death or personal injury caused by negligence where such liability cannot be excluded by law, or any other liability that cannot legally be excluded.

  • FORCE MAJEURE

PVO Expeditions is not responsible for failure or delay caused by events outside reasonable control.

This may include severe weather, natural events, war, political unrest, strikes, port restrictions, government action, illness, epidemic, boat breakdown, safety risks, transport disruption, supplier failure or other extraordinary circumstances.

  • GOVERNING LAW

These Terms are governed by Danish law, unless mandatory consumer or travel law provides otherwise.

Any dispute should first be handled through direct communication with PVO Expeditions.

If a dispute cannot be resolved, it may be handled by the relevant Danish authority or court, unless mandatory law gives the participant another right.

  • CHANGES TO THESE TERMS

PVO Expeditions may update these Terms from time to time.

The version published on the website at the time of booking applies to that booking, unless changes are required by law or are clearly beneficial to the participant.

SAIL TO EXPLORE EVENT TERMS

This section applies specifically to Sail to Explore events organised by PVO Expeditions.

Sail to Explore is a curated sailing event built from the expedition sailing culture of PVO Expeditions.

Participants book a place on board for a shared sailing experience. Flights, transfers, hotels, restaurants, travel insurance and personal travel arrangements are not included.

Each edition is shaped by the destination, the boat, the crew, the weather and the route..

  • EVENT-SPECIFIC DETAILS

Each Sail to Explore event page will show the relevant event details, including:

The event page forms part of the event terms.

  • BOOKING AND CONFIRMATION

A booking is received when payment is made through the booking platform.

The participant’s place on board and final boat details are subject to confirmation based on available spots, cabin setup, boat setup and overall crew balance.

PVO Expeditions will aim to confirm the participant’s place within the timeframe shown on the event page.

If the participant’s place cannot be confirmed, payments made to PVO Expeditions for that place will be refunded in full.

  • PAYMENT

Participants may reserve a place with the deposit amount shown on the event page.

The remaining balance is due according to the deadline shown on the event page.

Where available, participants may choose to pay the full amount at booking.

If a participant pays in full and their place cannot be confirmed, their payment will be refunded in full.

  • DEPOSIT AND PARTICIPANT CANCELLATION

Once the participant’s place on board and final boat details are confirmed, the deposit is non-refundable unless otherwise required by law.

If the participant cancels after confirmation, PVO Expeditions may try to fill the place from the waiting list.

Any refund beyond the deposit depends on whether the place can be filled, whether costs have already been committed, and the timing of the cancellation.

No refund is guaranteed for participant cancellation after confirmation, except where required by applicable law.

  • CANCELLATION BY PVO EXPEDITIONS

Each Sail to Explore event requires a minimum crew number to go ahead.

If the minimum crew number is not reached, PVO Expeditions may cancel the event and refund payments made to PVO Expeditions in full.

PVO Expeditions may also cancel or adjust the event if safety, weather, boat availability, operational issues, supplier issues or other serious conditions make the event impossible or unsuitable to run as planned.

If PVO Expeditions cancels the event before departure, payments made to PVO Expeditions will be refunded in full.

PVO Expeditions is not responsible for third-party costs such as flights, hotels, transfers, insurance or personal purchases, except where responsibility cannot be excluded by law.

  • THE BOAT

The boat is part of the Sail to Explore experience.

The final boat is selected based on confirmed crew size, cabin setup, route and the boat standard described on the relevant event page.

Exact boat details will be shared with confirmed crew.

  • ROUTE AND WEATHER

Sail to Explore routes are flexible.

The route, stops, anchorages and activities may change depending on weather, safety, local conditions and skipper decision.

Route changes do not automatically create a refund.

  • SHARED EXPENSES

Shared expenses are not included in the ticket price unless clearly stated otherwise on the event page.

Shared expenses may include groceries, fuel, marina fees, anchorage fees and other shared boat costs.

The estimated amount is shown on the relevant event page.

The final amount depends on the route, weather, marina choices, boat setup and group decisions.

  • CREW FIT AND SHARED SPACE

Sail to Explore is a shared sailing experience.

Participants should be comfortable with shared cabins, shared facilities, changing plans, simple boat tasks and group living.

PVO Expeditions aims to create a balanced and respectful crew dynamic.

Participants are expected to be open-minded, respectful, cooperative and ready to take part.

  • SAFETY

The skipper has final authority on safety, route, sailing conditions and onboard decisions.

Participants must follow safety instructions.

PVO Expeditions may remove a participant from the event if their behaviour creates a safety risk, serious disruption, harm to others or serious harm to the group dynamic.

  • INSURANCE

Travel insurance that covers sailing is strongly recommended.

Participants are responsible for arranging their own insurance and personal cover.

PVO Expeditions is not responsible for costs normally covered by personal travel insurance, including travel disruption, medical treatment, evacuation, lost belongings or personal cancellation, except where responsibility cannot be excluded by law.

  • PHOTO AND VIDEO

Photos and videos may be taken during Sail to Explore events and used by PVO Expeditions / Sail to Explore for communication and promotion.

If a participant does not want to be clearly featured in photos or video, they should tell PVO Expeditions before departure.

  • PERSONAL RESPONSIBILITY

Participants are responsible for arriving on time, packing light, bringing appropriate clothing, and sharing any relevant medical, dietary or safety information before departure.

PVO Expeditions is not responsible for missed departures caused by delayed flights, transport issues or late arrival, except where responsibility cannot be excluded by law.

  • AGREEMENT

By booking a Sail to Explore event, the participant confirms that they have read and accepted these Terms and the relevant event page information.
